Travel

Participants should not book travel before registering, but should have an estimate of the cost. We expect that your travel expenses will be covered by your home department or college. You need to talk to your department chair, manager, or director of undergraduate studies before registering. You might ask an academic advisor, faculty member you know, or other mentor for guidance about who to ask if you are unsure.  You can also contact us if you would like guidance in asking your department for travel funds. If they are not able to cover these expenses, travel funding is available.

Students are responsible for arranging their own travel to the conference.  We encourage students to coordinate with other attendees from their institution.Please be in communication with your local chair or faculty member if your department is reimbursing you for travel costs.

Lodging (for non-local students) and food will be covered by the conference.  

Reimbursements

If you are traveling by air and your travel cost is not covered by your department, your airfare must be approved by the conference organizers before you book your travel. Due to the limited nature of our travel funds, we ask that you find the most economical means of transportation to and from the conference. If your department cannot fund your travel, please email physics.info@asu.edu for plane and train ticket approval before purchase

If you are being reimbursed by the conference (rather than by your department): after the conference, you can submit the reimbursement form that will be provided to you. Reimbursement will be mailed to you within the month. For more details please contact us. 

Arizona State University - Tempe Campus

MOXY Hotel

Lodging for out-of-state attendees and speakers has been reserved at the Moxy Hotel in Tempe, located .7 miles (about a 15 minute walk) from the Bateman Physical Sciences F-Wing on the ASU Tempe Campus where the Department of Physics is located. Room assignments for out-of-state attendees will be distributed prior to the event.

The hotel offers complimentary on-site parking, wi-fi, fitness center, and breakfast.

If you are unable to schedule a pickup from the hotel shuttle, Phoenix Sky Harbor International Airport allows pick ups from both Uber and Lyft, and also offers convenient public transportation through the Valley Metro Light Rail.

Fares:

  • 1-Ride = $2.00
  • All-Day Pass = $4.00
  • Fare Enforcement: No person shall ride any transit vehicle without payment of the applicable fare. Violators will be subject to a sanction of not less than $50, but not more than $500, plus surcharges, costs and fees as set by law in some cities. Departing from Sky Harbor to ASU Tempe Campus & MOXY Hotel

Take the PHX Sky Train to the Valley Metro Light Rail stop:

    • 44TH ST WASHINGTON LIGHT RAIL STN (Phoenix)
  • Take the EAST BOUND train (towards Mesa).
  • Exit at light rail station:
    • UNIVERSITY DR RURAL LIGHT RAIL STN (Tempe) 
      • Will be announced as "University Drive and Rural Rd, ASU Tempe Campus". 

From UNIVERSITY DR RURAL LIGHT RAIL STN (Tempe) to MOXY Hotel:

  • About a 10 minute walk.
    • Head SOUTH on RURAL RD
    • Cross APACHE BLVD.
    • Destination will be on the LEFT.

Other events in Tempe January 12th-14th

The Synchrony Financial Rock 'N' Roll Arizona run will be taking place in Tempe the same weekend as CUWiP, January 12th - 14th. This may cause delays in your travel to the ASU Tempe campus.
